Open the report

Turned away is part of Pro and Enterprise. On Free and Starter, the screen explains what the report adds, with a Compare the plans button.

  1. Open Turned away, in the side menu under Guests.
  2. It opens on the four weeks that end today: a refusal is a fact the moment it happens. Pick other dates under From and To, or press 7 days, 28 days or 90 days.
  3. Read the two counts at the top: the refusals, and the covers turned away. Below them, Each refusal lists every refused request, newest first, with its night, its time, its party, its reason and where it came from.
  4. To keep the table of reasons, press Download this report.

Why they were turned away

Why gives each refusal one reason: the first that applied. The reasons that are about your room:

  • No table free: every table that fits the party was taken, or no table seats a party that size. This is the room, not a setting.
  • Your pacing cap: a table was free, but the most you set for that time had been reached. You change it in Settings › Pacing.
  • A blocked window: a time you closed to bookings in the pacing grid.
  • The venue was closed and Walk-ins only: you were not open at that time, or online booking was off that day while the room stayed open. Your opening hours are in Settings › Services, and the days that differ in Special days.
  • Bookings were paused: your page was paused when the guest tried, so the page and the button took no booking. Each try is counted, so you can see what a pause cost.

The reasons that are your booking rules

  • Too close to the sitting, Too far ahead and Party size not accepted: your lead time, how far ahead you take bookings, and the smallest and largest party you take, all in Settings › General. A service can have its own lead time and booking window, in Services.
  • Seating nobody has described and The seating they need was taken: the guest asked for seating such as step-free access, and no table has been described for it, none of yours has it, or the ones that have it were taken. Describe your tables in Settings › Floor.
  • The guest is blocked: the guest had reached the number of no-shows at which your no-show rule refuses their online bookings. The rule stays off until you switch it on in Settings › Guests & lists.

Asking, looking and waiting

The table of reasons has up to four columns. Tried to book is a guest who asked for a table and was refused; Looking is a time not offered to someone who was only looking. The two are counted apart and never added together.

Waiting list and Alerts are guests who put their name down instead, so a party who joins and then leaves shows on two rows. A column with nothing in it is left off.

In Each refusal, a request can end with joined the waiting list or did not stay, and its night is a link to that night on the service screen.

Hours and seating

Pick a single day, the same date under From and To, and When they were turned away shows the covers refused by the quarter-hour they asked for.

Seating people asked for sets what guests asked for against three columns: You own none that fits is a floor map decision, Yours were taken a matter of capacity, and Not described means no table has been described for it yet.

Good to know

  • A verbal no is invisible: telling a guest on the phone that you are full leaves no trace unless the booking was tried in the office.
  • Refusals are kept for ninety days. For older dates, the screen says where its figures start.
  • Opened from Insights, the dates end yesterday, and Include today adds today’s refusals. The covers you did sell on the same dates are one link away, on Insights.
  • When guests ask for seating and you have not described any of your tables yet, Activity says so in an entry called Guests asked about seating you have not described, with a Mark your tables link.
