The booking popup

Tap a booking to open it: who is coming, when and where, their requests and allergies, and every change you can make, up to cancelling and restoring.

Open a booking

Tap a booking on the Guestlist, Floor map or Calendar tab, and its popup opens over the screen. On Pro and Enterprise, a booking opened from a guest’s record in Guests opens the same way, and closing it goes back to the record.

What it shows first

  • At the top: the guest’s name, the party, the time, the table and, once they are in, how long they have been there. The status sits beside it, with the next step as the main button.
  • Above the rest, the table’s own note (Table note) and, in red, Allergies and dietary needs — confirm at the table.
  • The guest card: their email and phone, and Call them. On Pro and Enterprise it also shows their visits and no-shows, with their tags under it; on the other plans it says where the booking came from.

Confirmation, facts and history

  • For a booking still to come, whether it is confirmed — Not yet confirmed until it is — and how the reminder went, with Send again and Call them while it is not confirmed.
  • The facts, from Reference to when the sitting ends, and What happened: each step of the booking, with its time.
  • At the foot: the date, where the booking came from and the last tablet that changed it.

Notes, email and the guest’s link

Special requests are the guest’s own words. Edit them while the booking is to come or under way, then press Save.

Notes for staff are your team’s. Each note is kept with the tablet and the time it was added, and the guest never sees them.

On Pro and Enterprise, Email guest opens a message to the guest: write a subject and the text, then press Send. It reaches them by email, from the restaurant.

Under The guest's own link: Send the confirmation again for a guest who cannot find the email, or Make a new link for a new private link to read out or copy. A new link replaces the one already sent, so give it to the guest and nobody else.

Longer, shorter or another time

Before they arrive, the How long they have the table slider makes their sitting longer or shorter: move it, then press Set the sitting. A longer sitting that would run into the next party on that table is refused, and says who has it.

Once they are at the door or at the table, They need longer adds 10, 15 or 30 minutes to the end of their sitting, with the same check.

Change time or party gives a booking still to come a new time or number of guests, and Move to another table another table: see moving a booking.

The number of guests goes from one to every seat on the floor. When no table or combination seats the new number, pick the tables to join: the change waits until they seat everyone and are all free at that time.

Cancel, no-show and restore

Cancel booking and No-show sit at the foot, in red, and each asks first, naming the guest. A cancelled booking leaves the service and its table goes back to the floor. The guest is emailed when they have an address and Cancellation is on in Settings › Messaging; there is no choice here to cancel without telling them.

A party that arrived and left before being seated is cancelled with a reason, which stays on the booking, and is sent nothing.

A cancelled or no-show booking shows Restore at the foot. It puts the booking back on its table — or another, if that one has gone — with its reminder, and a guest who was told it was cancelled is told it is back on.

Good to know

  • Allergies, and anything marked severe, show on every plan. Other diets and the guest’s tags show on Pro and Enterprise.
  • Fix name or contact on an office tablet and Open the guest record on a service tablet both open the guest’s record, on Pro and Enterprise.
  • If another tablet changed the booking first, the popup says which one and shows the booking as it is now: try again if it still needs doing.
