Open the book
Press Guests in the rail. The book belongs to your account: every restaurant on it shares the same guests, and nobody else’s guests are in it. A guest is added the first time they book, or when you press Add a guest and give a name, an email and a phone number.
Find a guest
Type in the box Search by name, email or phone. A whole email address or phone number finds the guest wherever they are in the book. A name is looked for among your most recent guests, so in a very large book an older name may not appear: search their email or phone to be sure.
The chips under the search keep only the guests with one tag, and All shows everyone again. Has an allergy keeps only the guests with an allergy on their record. Beside it, the screen says how many guests the book holds.
What the list shows
The columns are Guest, Contact, Visits (with any no-shows under it), Last visit and Tags. The latest visit comes first: a guest who has not dined yet reads Never and is at the end, or a search away. Tap Guest, Visits or Last visit to sort by it, and Show more at the foot to load more.
A small shield beside a name means Contact not confirmed: someone on your team typed it, and the guest has not yet confirmed it is theirs. Tap a guest to open their record: what it holds is explained in a guest’s record.
Take the list away
On a tablet in Office mode, Export the whole book downloads a spreadsheet file with each guest’s name, email, phone, visits, no-shows and tags. Its last column, Agreed to news, holds the day the guest ticked the box to hear your news, and is empty for anyone who never did or has since taken it back.
The file holds every guest in the book, the most recently seen first. Its columns are the ones Settings › Import reads, so it can go back in. A search has its own download button, for the guests it found.
On Free and Starter
The guest book is part of Pro and Enterprise. On Free and Starter, Guests shows what the book would give you and, on a tablet in Office mode, a card to answer a guest who asks about their data: see Export or erase a guest’s data. Allergies given with a booking still reach the service screen on every plan.
Good to know
- If the email or phone you type in Add a guest is already in the book, that guest’s record opens and nothing is added.
- On a Service tablet the book can be searched and read, and tags and notes added, but it cannot be exported.
