Import your guests and bookings
Bring your regulars and your forward bookings from the system you used before: read its file, see what would happen, then add them in one go.

Bring your guests
- From your old system, export your guests as a CSV file.
- On an Office tablet, open Settings › Import and stay on Your guests.
- Under Your file, choose the file. The file is read in this browser. Only the columns you map below are sent, and the file itself is never uploaded.
- Under Which column is which, check the guesses: a guest needs Name, and Email or Phone. Choose Not in this file for a column your file does not have.
- Press See what this would do. Nothing is written yet.
- Read What this would do: the new guests, the rows that join a guest you already have, and Skipped rows with the reason for each. Then press the button under it to add them.
Bring your bookings
- Export the bookings still to come from your old system as a CSV file, then open Your bookings and choose it.
- Check the columns. Date, Time, Guests and Name are needed; Email, Phone and Notes are optional.
- Under How to read these dates, say whether the dates are written day first, month first or year first. Where the file itself proves it, the answer is chosen for you, with the reason.
- Press See what this would do. The report counts the bookings that would go in, those moved to the nearest start your restaurant offers, those already in your book, those over your pacing, and the rows skipped.
- If you want the bookings that are over your pacing, tick the box under the report to take them anyway. Then press the button that adds them.
A few may still not fit once the earlier rows are in. The final report, under Done, says what happened to every row.
What comes across, and what does not
- Guests: a name, an email and a phone number.
- Bookings: the date, the time, the number of guests and the name, plus the email, phone and notes if you map them. The notes become the guest’s request on the booking.
- Nothing else in the file comes across: no tags, no visit history, no allergies and no staff notes.
Good to know
- Imported bookings send your guests no confirmation email, since your old system confirmed them. Their reminders still go out, like any booking’s.
- Running the same file again is safe: a guest already here is joined rather than added twice, and a booking already in your book is left alone.
- If accented or Arabic names look wrong after reading the file, open it in your spreadsheet, save it again as CSV UTF-8, and read it again.
- Import is part of Pro and Enterprise. On Free and Starter the screen shows a card that names the plan that adds it.
