The seven statuses
- Booked: the booking is made, and the party is expected.
- Confirmed: the guest confirmed from their own link, on every plan but Free, or the team confirmed it, by phone for instance. A booking made online within 24 hours of its time is confirmed straight away.
- Arrived: the party is at the door, not yet at a table.
- Seated: the party is at the table.
- Finished: they have left, and the table is free again.
- Cancelled: called off by the guest from their link, or by the team. On Pro and Enterprise it can also happen by itself to a booking never confirmed, if you chose to release unconfirmed tables.
- No-show: the party never came.
Two more words come from the clock, not from a tap. Late shows on a booking whose party has not arrived some minutes after its time, set under Late after (min) in Settings › General. Past shows on one whose whole sitting went by with nobody marking them arrived.
What you can do from each
- From Booked: Confirm, Arrived, Seat, Cancel booking or No-show.
- From Confirmed: the same, with Un-confirm in place of Confirm, for a confirmation recorded by mistake.
- From Arrived: Seat, or Cancel booking with a reason, for a party that leaves before sitting down. Nothing is sent to them.
- From Seated: Finished.
- From Cancelled or No-show: Restore.
A row of the guestlist offers only the next step: Arrived, then Seat, then Finished. The others are in the booking’s popup, where Cancel booking and No-show ask before they act, naming the guest.
Arrived and Seat are offered from three hours before the booking’s time until four hours after it. No-show waits until the booking’s time plus the minutes you wait for a party, set in Settings › General; Cancel booking works at any time. A party that has arrived cannot be marked a no-show: they came.
Seat in one step
In the booking’s popup, Seat is also offered on a party that is still Booked or Confirmed. One tap records the arrival and the seating together, for the party you lead straight to their table.
Take a step back
After a tap on the guestlist, the row offers Undo for eight seconds. After that, the booking’s popup keeps a way back for two hours after the step: Not arrived yet, Not seated yet or Not finished yet. A step taken back stays in the booking’s history.
Undo a cancellation or a no-show
Open the booking and press Restore. It becomes Booked again. If its table is still free, it gets it back; if another party has it, it goes on another table that can take them; if no table can, nothing changes and the popup says why. If pacing is full at that time, a tick box lets you restore it anyway.
What is marked automatically
A party still Seated when their sitting is over is marked Finished automatically, once the minutes you allow for finishing in Settings › General have passed. Their table is free again.
On a night your team is marking guests in, a party still Booked or Confirmed when the no-show wait is over is marked No-show automatically. Walk-ins never are, and on a night nobody is marked Arrived or Seated, nothing is.
Each one says so in the booking’s history and in Activity, and is taken back like a tap: Not finished yet within two hours, or Restore. A no-show marked automatically is never a strike on the guest’s record.
Statuses on the floor map
On Floor map, a table with a party still to come is amber until their time, then red. It is red too once they are seated, turns a deeper red with an exclamation mark if they stay past the end of their booking, and shows a clock while they are late. A booking that becomes Finished, Cancelled or No-show gives its table back, so the table is free again.
Good to know
- Anything else stays where it was left until someone taps. Press Finished as each table leaves: a table finished by hand is free at once, without waiting for the automatic finish.
- Two tablets tapping the same step at once is fine: the guest is seated either way. A tap from a screen that has fallen behind is refused, so it can catch up first.
- A no-show stays with the guest’s details at your restaurant: see the guest record.
