Special days and closures

Close for a day or a holiday, open with different hours, or stop online bookings for part of a date, without touching your weekly hours.

Close a day, or change its hours

  1. On a device in Office mode, open Settings › Special days.
  2. Under Add a day or a range, pick the date in From. For a run of days, pick the last one in Until (leave empty for one day).
  3. Under What happens that day, choose Closed, No online booking, Different hours or Open as usual.
  4. For Different hours, set Opens, Closes and, if you need it, Last seating (min before close). For No online booking, set No online booking from and the time it ends.
  5. Add a note if you like, and press Save this day. If a date already has something set, the screen asks before it is replaced.

The four kinds of day

  • Closed: nobody can book that day — not online, not by phone, not at the door.
  • No online booking: open as usual, but guests cannot book online during the hours you set. Your staff can still take those bookings.
  • Different hours: these hours replace the usual ones for that day. Guests book inside them; your staff can still seat someone outside them.
  • Open as usual: kept open on purpose, so adding the public holidays will not close it.

Public holidays

The second button under the form adds the public holidays of the year your first date falls in, for the country set in General. It lists them first; Close on them then makes each one a closed day, and a date you have already set is left as it is. Some countries have no holiday calendar yet: add those days by hand.

Bookings already made

Closing a day, stopping online bookings, or giving several days different hours at once cancels nothing. Bookings left outside your hours stay on the book and are listed under Schedule conflicts in General; a warning at the top of this screen links there while there are any.

To close a day and cancel what is booked on it, press Close the day & cancel on the day’s row: the screen shows exactly what it will cancel, and nothing happens until you confirm. Closing a day explains it step by step.

Different hours for one day

When you choose Different hours for a single date and press Save this day, the screen first checks that day’s bookings. If they all still fit the new hours, the hours are saved at once. If some no longer fit, nothing is saved until you choose, and the screen shows:

  • how many bookings no longer fit, the guests on them, and how many of those guests cannot be emailed, with their phone numbers and the times to offer them;
  • each of those bookings, and the nearest times still free that day that its guest will be offered, for their party and anything they need.

Cancel them or keep them

  • The red button, which says how many it cancels, cancels those bookings and emails each guest the times still free that day, each one a link to book it. The times are not kept for them, and the bookings that still fit are not touched.
  • Change the hours, keep these bookings saves the hours and leaves those bookings where they are. They are listed under Schedule conflicts in General.
  • Back saves nothing.

The change runs like closing a day: the new hours are saved first, so no guest can book outside them online while it runs, and you have ten minutes to undo it. A guest who has already booked one of the new times keeps that booking.

Days already set

Days already set shows what is set for the next ninety days; change its two dates to look further ahead. Remove puts a day back to your usual weekly hours, and bookings already taken for it are not touched.

A day that came from the public holidays also offers Keep it open instead: it stays open, and adding the holidays again will not close it.

Good to know

  • Special days follow your business day: if it starts in the early morning, a booking after midnight belongs to the night before. A day that has already been traded cannot be set.
  • A special day changes its own date only; your services and their weekly hours stay as they are.
  • One range of days can run for up to a year.
